New Supplier Form

Thank you for your interest in providing your services to Hamilton Island Weddings clients.

We love our suppliers and we love our clients!  And… without great suppliers, we cannot continue to supply such great products and services to our clients.

To ensure Hamilton Island Weddings provides its clients with correct information and pricing and for your own assurance of payment terms etc.  Please complete the following form, read the below agreement then agree to the terms and submit prior to quoting any specific pricing to our clients or Wedding Coordinators.

 

Insurance

It is a requirement of providing your services on Hamilton Island, that you have your own public liability insurance covering you to a minimum value of $10,000,000 (ten million dollars).  A Certificate of Currency must be supplied to Hamilton Island Weddings prior to you providing your services on Hamilton Island. This can be uploaded in the below form, or sent separately by email.

 

GST

If no ABN is being provided, you must supply Hamilton Island Weddings with a signed and completed “Statement by a Supplier” form outlining why you are not supplying an ABN.  This form can be sourced from the Australian Taxation Office website or contact our office and we will email one to you.

Quoting Prices

Where GST is to be included in a price, the price quoted to Hamilton Island Weddings by you, either verbally or in writing must always include that GST.

 

PAYG, Superannuation & WorkCover

HIW do not pay PAYG or Super for contracted/invoiced work, and you and your workers are not covered under HIW’s WorkCover policy.

Insurance

It is a requirement of providing your services on Hamilton Island, that you/your company or business have your own public liability insurance covering you to a minimum value of $10,000,000 (ten million dollars).  A Certificate of Currency must be supplied to Hamilton Island Weddings prior to you providing your services on Hamilton Island.

 

Agreement

  • By signing below you agree to supply your products and/or services to Hamilton Island Weddings.
  • You understand that once you have confirmed a specific service & price to Hamilton Island Weddings either verbally or in writing, you will be obligated to fulfill your commitment without any inconvenience or disruption to Hamilton Island Weddings or its clients.
  • You understand that where GST is to be included in a price, the price quoted to Hamilton Island Weddings by you, either verbally or in writing must always include that GST.
  • You understand that once a price has been quoted to Hamilton Island Weddings, accepted by a client, and the requested services confirmed to you by Hamilton Island Weddings, no increase in price will be accepted, and any additional expenses incurred by you to fulfill your original commitments will be at your own cost.
  • You understand that Hamilton Island Weddings will add commission to your quoted price prior to on-quoting these products/services to its clients, for this reason no discussions between yourself and a client are to include details of pricing and inclusions.
  • You agree that should a client contact you directly regarding providing your services for the purpose of a wedding related service on Hamilton Island, you will explain to the client that these services must be booked through Hamilton Island Weddings and promptly provide the clients contact details to our office for our Wedding Planners to contact.
  • You understand that Hamilton Island Weddings payment terms are 30 days and invoices are to be supplied clearly stating the following:
    • Full name and date of the wedding your services were supplied to.
    • The name of the HIW Wedding Planner who booked you.

 

PAYG, Superannuation and WorkCover

Hamilton Island Weddings (HIW) is contracting you / your business for an event on Hamilton Island, we are doing so on behalf of our client.

HIW do not pay PAYG or Super for businesses contracted, and you and your workers are not covered under HIW’s WorkCover policy.

All Invoices submitted to HIW will require the following:

  • ABN (Australian Business Number)
  • GST Registered businesses require the words “Tax Invoice” – Businesses not registered for GST only require the word “Invoice”.
  • Invoices over $1000 must show Hamilton Island Weddings;

Invoices should be sent to the Planner

 

All Companies, Trusts and Partnerships providing their product or service on Hamilton Island, must have:

  • Their own Public Liability Policy to a minimum of $10,000,000 and must provide a copy of a valid certificate or currency to HIW
  • Their own WorkCover Policy.

 

All Sole Traders must have:

  • Their own Public Liability Policy to a minimum of $10,000,000
  • Their own sickness & accident insurance

Hamilton Island Weddings Public Liability and/or Insurance policies do not cover where the contractor/subcontractor is liable.

Any defects or damage in workmanship are at your own commercial risk.

It is expected that you provide your own tools to cover your trade and include these in your rate.

Any changes to initial agreed terms, equipment, and details within those areas cannot be made without consulting with the Wedding Planner for approval of a new agreement. If in doubt please contact the Wedding Planner in charge of the event.

HIW takes safety very seriously, we request that you supply your product or service in a safe manner and that you advise HIW Management immediately if you believe something is being undertaken in an unsafe manner. We also require you to advise us immediately, should you witness or be involved in any accidents or events involving a safety issue while providing your product or service to a client of Hamilton Island Weddings.
